Start with the day you want to create
Tell us your preferred date, starting point, number of guests and whether the main purpose is golf or a meal. Name the venue you have in mind as a preference, not an assumed landing destination. Include any fixed tee time or reservation already held so the proposed journey can be assessed against it.
Confirm landing and venue access independently
A hotel, restaurant or golf course appearing on a map does not establish permission to land there. The flight partner must assess the route and approved access. The venue must also be available for the intended activity. Ask how passengers travel between the landing point and the venue if they are not the same place.
Plan golf equipment on the ground
Golf bags need separate ground transport for these outings. Tell the team how many bags and other items need moving so ground carriage can be coordinated. Do not arrive expecting clubs to fit because the flight is private. Confirm the current equipment arrangement in the tailored proposal before departure.
Read what the quotation actually includes
Flight, landing arrangements, golf, meals and ground transport should be distinguishable in the proposal. Do not assume a tee time, green fee, table, drinks or waiting time is included in a headline flight price. Compare the complete day for your party and clarify anything that depends on separate confirmation.
Agree the return and change arrangements
State where everyone needs to finish and any fixed later commitments. Ask what happens to the different parts of the day if the flight changes. A flight cancellation does not automatically settle a separate restaurant or golf booking. Keep the agreed timings, inclusions and applicable terms together in writing.
